Venue Policies

Booking

The Courtyard at Aspen Grove is pleased to place event space on hold. Please note, it is considered secured when the contract and deposit are received. 

50% of the facility rental fee is due at the signing of the contract with balance due 45 days prior to your event along with your venue per person fee. If your event is booked within 45 days or in the month of December, 100% of the facility rental is due at the time the contract is signed and is non-refundable. 

You are permitted to bring in all your select services, per our guidelines.  This includes food and beverage services. 

The Venue owns 5’ round tables and mahogany chiavari chairs which are included in the facility rental fee.  Inventory accommodates up to approximately 200 guests. Please note these specialty chairs are only permitted for indoor use.  White resin folding chairs for up to 200 guests are provided for all outdoor events.

Use

The caterer will set up and tear down tables and chairs for your event.  The Venue does not provide staff for set up or tear down.

The caterer is required to provide cleaning services during the event and post event must leave the venue in the condition it was when they arrived or better.

Contracted event rental time is based on 4 hours of event time and 4 hours of set up and tear down time.  Event time is defined as when your guests are on property.  Additional time is available for an additional hourly fee.  The fee of $150.00 is assessed per hour for every additional hour of set up and $200.00 per hour for additional event time. 

The Courtyard at Aspen Grove is a non-smoking facility. Smoking is permitted only in designated, exterior areas.

No décor will be permitted to be secured to the walls, fixtures, artwork, or floor without prior consent. 

All tents must be approved prior to installation. To accommodate tents, additional fees may apply for installation and tear down time.

The Venue and partners are not responsible for loss of or damages to any items brought onto the premises. 

All decorations, flowers and entertainment must be pre-approved by the facility. Venue will not permit the use of balloons, confetti, glitter, birdseed, rice, fog, bubbles, sparklers or fireworks anywhere on the property. 

Children must be supervised at all times.  

The Courtyard at Aspen Grove permits the use of candles and votives as long as they are fully contained. 

The Venue reserves the right to inspect and control all private events, including the right to monitor and control noise levels.

The Venue reserves the right to reassign event spaces based on the preliminary guarantee of the number of guests.
Specific areas will be designated for deliveries, unloading/loading, parking and event set up.   Vendors of the event must arrange delivery time in advance of the event set up or they may be delayed due to other scheduled activity.
